Volunteer Roles

Whitmoor Waves Volunteering:

Whitmoor Waves is a volunteer run organization. In order to make meets run smoothly we need all parents to volunteer. We ask all parents to volunteer SIX (6) half meets.

  • We do have some volunteer jobs, such as set up and clean up, that are before or after the meet.
  • Volunteer jobs that are during the meet are listed at 1st half (event 1-54) and 2nd half (Event 55 - end of the meet)
  • Jobs switch at Event #55 regardless of time. Times listed on the sign-up are estimates.

    Meet Set Up: We set up for home meets during Monday morning practice time. All lawn chairs must be stacked, and bullpen benches set up.

    Meet Cleanup: After home meets, all lawn chairs need to be set up, bullpen benches put away, garbage on deck picked up, cleaned up and help concessions clean up.

    Timers:

    Many families enjoy timing, so they can watch the events while they work.

  • There are two timers per lane, each lane should have a mix of teams timing. One timer must record all scores on the team provided clip board.
  • As a general guidance, the Middle lanes (3, 4, and 5) will often have swimmers in every Heat. Lanes 1 and 6 may not have a swimmer each heat.
  • Listen to the announcer to make sure you are on the correct event.
  • Double check with swimmer either before or after event that the correct swimmer swam in correct event. Ask them their name and verify against the swimmer’s name on the clipboard timing sheet.
  • Start watch on the announcer’s horn (not when the swimmer starts)
  • Stop watch when swimmer’s hand touches the wall.
  • Record both times, if one timer misses the start or finish do not include that time. Do not make up a time.
  • Record times even if the swimmers is disqualified or needs assistance.
  • If your lane is not scheduled to have a swimmer and a swimmer is placed in the lane, record their first and last name, time swimmer as normal, and notify the runner that you had a write-in.
  • Please turn in all timer sheets to runners when asked
  • Photography or videotaping from behind the blocks is prohibited. Please refrain from using your phone while timing. This is a widely enforced rule for USA Swimming to protect all the children swimming during our meets.

    We ask that you enforce this rule with families and others from behind the blocks. Ask them to videotape or take pictures from the side, or from the other end of the pool. Thank you for your compliance.

    Scorer’s Table:

    Volunteer organizes the timer sheets by event and lane

    The Scorer’s Table volunteer organizes the Disqualification (DQ) sheets and staples on to the timer sheet (make pile of duplicates for each team)

    Enter times for each swimmer make sure swimmer name and lane match in the team computer.

    After every 10- 20 events: print results

    If you are new to this volunteer role, a seasoned volunteer will be working with you to help.

    Bullpen: This is a great job if you want to get to know the swimmers and understand how the swim meet runs. There are typically several Bullpen volunteers per meet.

    Back-end bullpen:

  • Start announcing events and organizing swimmers into heats and lanes.
  • Lane 1 is next to the retaining wall, lane 6 is by the pool.
  • Each bench is one heat
  • Middle bullpen:

  • Check if heats are being combined and move swimmers as needed.
  • Make sure each swimmer is in the correct lane, and notify coaches or announcer of missing swimmers
  • Work with back bullpen to call more events to bullpen
  • Front-end bullpen:
  • Make sure each swimmer knows what lane and what event they are swimming.
  • Help swimmers move from benches to chairs behind the blocks
  • Check that swimmers are in the correct chair behind the block
  • Help swimmers move from chairs to blocks at correct time
  • Instructions for Relays:

    Coaches from Whitmoor will help organize relays. May need to remind visiting team to help organize little swimmers

    For 100 relays (100 Free Relay / 100 Medley Relay) the organization should be:

  • First swimmer sits on bench
  • Second swimmer stands behind
  • Third swimmer sits on 2nd bench
  • Fourth swimmer stands behind
  • First and Third swimmers will stay on the block side

    Second and Fourth swimmers will need to be walked to correct lane on shallow side of pool.

    (Marked pool noodles are available to help with this as needed)

    Please use your PARENTING voice to ensure good behavior in the bullpen. Swimmers may need to be reminded to:

  • Keep hands to themselves
  • Stay out of diving well and off diving board
  • No throwing rocks
  • No standing on tables or stacked chairs behind the bullpen
  • Sitting calmly on the bullpen benches and preparing for their race 

  • Runners:

    Runners take the completed score sheet to the scoring table. Runners must keep the sheets organized to make sure to match swimmers with lanes. Runners will also need to get DQ sheets from stroke judges to the scoring table. Please make sure you have all sheets, even if they are empty. Do not throw away any scoring sheets.

    Concessions:

    Concessions sells the snacks and drinks organized by the Concessions chair. Must be able to handle food and drinks. Add up costs, take payments and make change. This is a team fundraiser and all profits go back into the team fund. Whitmoor Meet Concessions are CASH ONLY. Members are not able to charge food/drink to their Whitmoor membership account.

    Stroke Judges:

    Stroke judges must be trained and certified by the league. Training certification is good for THREE years. Stroke judges make sure that swimmers are properly using their arms, legs, breathing, turns, starts and finishes. Stroke judges will disqualify swimmers who do not swim proper strokes. Stroke judges must write the reason for the DQ and sign the score-card before turning into the scoring table.

    Safety Monitors:

    Safety Monitors, monitor upper and lower deck areas, remind guests to stay out of water, remind swimmers of best behavior, keep guests out of the pool areas.
